MakeTours4You Travel Services Pvt. Ltd. ("MakeTours4You", "we", "us") respects your privacy. This policy explains, in plain language, what personal data we collect when you enquire, book or travel with us, why we need it, how long we keep it and what rights you have.
1 — Data we collect
- Identity and contact data: name, phone/WhatsApp number, e-mail address, city and, for bookings, date of birth and gender as required by airlines and hotels.
- Travel document data: passport number, issue and expiry dates, nationality, visa copies and photographs — collected only when a booking or visa application requires it.
- Booking data: travel dates, destinations, preferences, meal and seat requests, frequent flyer numbers, insurance details.
- Payment data: payment reference, amount, currency and invoice details. We never store your full card number, CVV or net-banking credentials — payments are processed by PCI-DSS compliant gateways.
- Usage data: IP address, browser type, pages visited, referring URL, and interactions with our website forms and chatbot.
- Communications: e-mails, WhatsApp messages, call notes and chatbot transcripts relating to your enquiry or booking.
2 — Why we use it
- To prepare quotations, make bookings and issue tickets, vouchers and visas.
- To comply with airline, hotel, embassy and government requirements — including advance passenger information where mandated.
- To send you service messages at every stage of your booking (e-mail, WhatsApp, SMS).
- To provide 24×7 on-trip support and handle complaints or claims.
- To send marketing offers, only where you have opted in; every such message carries an unsubscribe option.
- To meet legal, tax and accounting obligations, including GST invoicing.
- To improve our website, forms and chatbot using aggregated analytics.
3 — Legal basis
We process personal data to perform our contract with you (making and servicing your booking), to comply with legal obligations, for our legitimate business interests (fraud prevention, service quality, security) and, for marketing, on the basis of your consent.
4 — Who we share it with
- Suppliers: airlines, hotels, transfer providers, cruise lines, tour operators and insurers — only the data needed to deliver your booking.
- Government and embassies: where a visa or statutory filing requires it.
- Service providers: our e-mail/SMTP host, WhatsApp Business API provider, payment gateways and hosting provider, all bound by confidentiality obligations.
- Professional advisers and authorities: auditors, legal advisers or regulators where required by law.
We do not sell your personal data, and we do not share it with third parties for their own marketing.
5 — International transfers
Because travel is international, your data may be transferred to suppliers outside India (for example a hotel in Europe or an airline's global reservation system). We share the minimum necessary and require suppliers to protect it.
6 — How long we keep it
- Enquiries that do not convert: up to 24 months, then deleted or anonymised.
- Booking and financial records: 8 years, to meet tax and accounting requirements.
- Passport and visa copies: until 90 days after your return, then securely deleted — unless a supplier or authority requires longer.
- Chatbot transcripts and form submissions: up to 24 months.
7 — Cookies and analytics
We use essential cookies for security and form handling, and optional analytics cookies to understand which pages help travellers. You can block or delete cookies in your browser; essential site functions will still work. If we enable advertising pixels, they are listed in our cookie notice and are only set with consent where required.
8 — Your rights
You may ask us to access, correct, update, restrict or delete your personal data, withdraw marketing consent, or receive a copy of the data you gave us. Write to privacy@maketours4you.com and we will respond within 30 days. If a request conflicts with a legal retention obligation, we will explain which records we must keep and why.
9 — Security
Our website runs over HTTPS. Access to customer records inside our organisation is role-based and logged. Payment pages are handled by PCI-DSS compliant gateways. We train staff on data handling and require confidentiality undertakings. If a breach affects your rights, we will notify you and the relevant authority without undue delay.
10 — Children
We process children's data only as part of a family booking made by an adult, and only what airlines, hotels and visa authorities require.
