Schengen Visa 2026: Complete Document Checklist

Visa Guide · 12 March 2026 · 9 minute read · by the MakeTours4You visa desk

The short version: apply 45 to 60 days before departure, not 30. Appointment slots at VFS are the real bottleneck — embassy processing is usually 15 to 20 working days, but the earliest slot in Delhi, Mumbai or Bengaluru can be three to five weeks out in peak season.

1 — Which country should you apply to?

Apply to the country where you will spend the most nights. If nights are equal, apply to the country of first entry. Getting this wrong is one of the most common reasons for rejection, and it has nothing to do with your finances.

2 — The core document list

DocumentWhat consulates actually want to see
PassportValid at least 3 months beyond your return date, two blank pages, previous visas visible. Include old passports if you have travel history.
PhotographsTwo 35×45 mm, white background, taken within six months, no spectacles glare, ears visible.
Bank statementsLast 3 to 6 months, bank-stamped, showing a healthy closing balance and regular salary credits. A sudden large deposit two days before applying looks staged — avoid it.
Income tax returnsLast 2 to 3 years (ITR-V acknowledgement). Salaried applicants: Form 16 too.
Employment proofLetter from employer with designation, joining date, leave approval and salary. Business owners: GST registration, ITR and a company bank statement.
Cover letterOne page: who you are, why you are travelling, dates, who is paying, and a promise to return. Sounds trivial — it is read.
ItineraryDay-wise plan with city and hotel names. We prepare this from your booking.
Flight reservationsConfirmed round-trip booking or a held reservation. Most consulates accept a valid hold.
Hotel bookingsConfirmed vouchers covering every night of the trip. Free-cancellation bookings work.
Travel insuranceMinimum €30,000 medical cover, valid across all Schengen states and for the full trip duration. Our Standard and Premium plans satisfy this.
Proof of fundsRoughly €60 to €100 per person per day depending on the country. Show it via bank balance, not cash.

3 — Timeline that actually works

Day 1 — Decide country and dates

Fix the itinerary so the "main destination" rule is unambiguous.

Day 2–5 — Book the VFS appointment

Slots open in rolling windows. Book the earliest available; do not wait for a "better" date.

Day 5–20 — Prepare the file

Bank statements, ITR, insurance, bookings, cover letter. We check every page before submission.

Day 20 — Biometrics and submission

Carry originals plus one full photocopy set. Biometrics are valid for 59 months.

Day 20–40 — Processing

Track the application online. Do not book non-refundable flights until the visa is stamped.

4 — ETIAS: what changes

ETIAS is the EU's new pre-travel authorisation for visa-exempt nationals. Indian passport holders still need a Schengen visa; ETIAS does not replace it. If you hold a passport that is visa-exempt for the Schengen area, you will need ETIAS approval before boarding once it goes live. Either way, the rule of thumb is the same: never travel on an assumption — we verify your exact requirement before booking.

5 — Five reasons applications get refused

  • Unclear main destination — applying to the wrong consulate.
  • Thin financials — balance too low, or a lump-sum deposit just before applying.
  • Missing nights — hotel bookings that do not cover the whole trip.
  • Insurance gaps — cover below €30,000 or ending before the return date.
  • Weak ties to India — no employment letter, no property, no family context in the cover letter.
How we help. Our visa desk prepares the entire file, checks it page by page, books your appointment and briefs you before submission. It is not a guarantee — nobody can guarantee an embassy decision — but our approval record on files we prepare is 96%.
